1. Communication cost, time & destinations:

What targets? The use and efficiency of each type of technology differs according to the targets of the communication.

In analysing the Communication Pyramid of a company, we distinguish between 3 destinations:

1.1 Business Generation communication: sales calls, follow-up calls, deal initiation calls

1.2 Business support communication: The destination is debtors, creditors, vendors, suppliers, outside technical staff

1.3 Internal communications: Inside the corporate premises, on its LAN or WAN, communication over data lines or over IP protocol.

What's best? In almost all cases, face to face communication is the most qualitative desirable option. It is also by far the most expensive option, given the time spent in the run-up to and the run-down after the meeting, and this factor becomes a multiple if any travelling is involved.

An office workers' time at R12,000 per month is more expensive per minute than a cellular call. In making a cellular call, the cost to company is effectively doubled for the duration of the call.

In Business Support communication the cost of must be targeted. In Internal communication the efficiency in time spent should be improved.

In each of these categories the usage size differs by corporate position; Creditors personnel makes low Business Generation communication, Salespeople makes fewer business support communication.

  

2. Establishment of a Business Communication Strategy

2.1 AUDIT: An initial analysis that may lead to a self-funding audit.

We would start the process with an exploratory desktop analysis - we would ask a number of questions, visit the installation and then determine whether an communication audit is feasible.

What is an audit? The comprehensive communication audit focuses on finding 3 things:

  • Discrepancies in the billing from your service providers. We analyse, compare and justify every expense, charge and call made to weed out billing and usage discrepancies. This process may take a couple of days. We would then effectively negotiate the return of any overcharges to you.
  • The overspec of installed services. We would evaluate the usage pattern and limitations and where appropriate, recommend rightsizing of surplus services; we would share in saving made in this way.
  • The unauthorized use of communication channels. We would evaluate all usage against its authorization and eliminate waste and possible fraudulent activities

What Duration? A typical audit takes 2 weeks before the first results are shown, its duration depends on what is uncovered and how speedily recommended actions can be implemented.

2.2 STRATEGY: A decisive needs analysis that evaluates the communication options for each position.

What usage? We would evaluate the correct and appropriate use of every technology against the need for every type of position at the organization. Typically the level of usage for every technology is measured against more useful alternatives.

Some of our guidelines are that communication proof is important in supplier/vendor communication (email/sms is preferred over telephony), highest clarity telephony is important in sales generation, optimal time during the day for telephony and email communication differ etc.

3.3 IMPLEMENATION: A self-funding selection of appropriate technology and carriers to fit the budgets.

Whose job? In the rush towards convergence of data and telephony, the traditional on-site telecommunications expert's mantle is often shared by finance, procurement and IT.

Who knows? Often the real impact of moving too fast or too slow in unifying the use of audio and data communications is overlooked or simply not known. That is where our expertise can help.

Corporate Overview

TeleMasters was established in 1996 and its Directors are Stephen van der Merwe, Non-Executive Chairman, Mario Pretorius who serves as CEO, Natie Bekker as CTO and Nolene Owen as CFO. Brandon Topham, Jaco Voigt and Vernon Beck serve as Independent Non-executive Directors. The Directors have accumulated over 60 years of telecommunication management experience.
